Executive Assistant

The opportunity

AJW Group is seeking a highly organised and proactive Executive Assistant to support our Chief Executive Officer on a 12-month fixed-term contract, ideally to start asap.

This role requires a high level of autonomy, discretion, and decision-making. You’ll manage the CEO’s schedule, communications, and travel while coordinating with stakeholders across multiple global locations. The ability to act on remote instructions and deliver efficiently in a fast-paced environment is essential.

Responsibilities include:

• Manage complex diaries, meetings, appointments, and business lunches for the CEO.

• Arrange international travel itineraries, sourcing competitive rates for flights, hotels, car hire, and restaurants.

• Interpret remote instructions and deliver a wide range of executive support services across multiple global locations.

• Provide support for personal diary management and arrangements as required.

• Prioritise and manage daily correspondence, including responding to emails, preparing reports, presentations, and handling general enquiries.

• Raise purchase orders and manage approval processes for various business and personal requirements.

• Complete and submit expense reports with accurate receipt tracking.

• Undertake ad hoc projects and deliver data-driven insights and information as needed.

About you

• Proven experience as a global Executive Assistant, ideally supporting a business owner or senior leader within a privately owned organisation

• Highly organised with exceptional attention to detail and time management

• Ability to handle confidential information with absolute discretion and professionalism

• Self-motivated, adaptable, and capable of working independently across multiple time zones

• Expert-level communication skills, both written and verbal

• Strong relationship-building skills with a diplomatic and professional approach

• Tech-savvy with confidence in using various digital tools and platforms

• Tenacious, resourceful, and solution-oriented under pressure
